SJPL’s Volunteer Services Unit actively recruits, trains, and engages a diverse group of over 3,000 volunteers who contribute more than 90,000 service hours annually, leveraging skills to enhance library services and support community members in lifelong learning and education. The unit has been recognized statewide for pioneering volunteer recruitment strategies and programs to enhance the library’s volunteer offerings.

Positions & Duties

SJPL is recruiting a Volunteer Coordinator to administer the library’s volunteer programs, organize volunteer activities, and provide support and resources to staff who work directly with volunteers on-site and virtually. The position will coordinate volunteer assignments and use various tools to develop, evaluate, and promote Library volunteer opportunities, such as: Summer Learning, Summer Lunch, Homework Club, English Language Learning Conversation Clubs, Teens Reach youth volunteers, technology and computer support and digital literacy, and adult literacy.  

The Volunteer Coordinator is also responsible for coordinating and leading the library’s volunteer recruitment and recognition efforts throughout the year, as well as systematizing the volunteer screening process, including scheduling and conducting LiveScan background checks and COVID-19 vaccine verification of volunteers as needed.  

In addition, the Volunteer Coordinator will serve as a liaison for the San Jose Public Library Foundation (SJPLF), who frequently works with corporate donors to develop group volunteering opportunities at SJPL. The nonprofit Foundation fundraises and facilitates corporate sponsorship on behalf of the library to support library services and will work in coordination with the Volunteer Coordinator to develop meaningful corporate volunteer opportunities. 
This position will: 

  • Prepare training materials and procedural guides for both volunteers and staff 
  • Plan, coordinate, and lead volunteer events 
  • Develop promotional campaigns to increase the number of volunteers 
  • Develop recognition activities for the volunteer program 
  • Interview, screen, place, and onboard volunteers 
  • Utilize Better Impact, the City's online volunteer management software, to collect and analyze statistics on volunteers, and train and support staff in using these tools 
  • Collect and analyze statistics on volunteers, including hours of service, skills possessed, training received, availability, and special needs; provide information and data for routine report outs. 
  • Assist with developing system-wide volunteer programs 
  • Collaborate with partner organizations and stakeholders, such as the San José Public Library Foundation, to facilitate volunteer requests and placements

Selection Process 

The selection process will consist of an evaluation of the applicant's training and experience based on the application and responses to the Job Specific Questions. Only the candidates whose backgrounds best match the position will be invited to proceed in the selection process. Additional phases of the selection process will consist of one or more interviews, one of which may include a practical/writing exercise.

Per the City’s COVID19 Mandatory Vaccination Policy, the City requires all employees starting on or after February 11, 2022, to provide proof of vaccination as a condition of employment absent a documented medical and/or religious exemption. Proof of vaccination means that employees are required to be “up-to-date” with regards to the COVID-19 vaccine. Consistent with the Santa Clara County Public Health Order issued on December 28, 2021, "up-to-date" means that an employee is not only "fully vaccinated," but has also obtained any booster doses of a COVID-19 vaccination for which they are eligible, within 15 days of first becoming eligible.


Minimum Qualifications 

Any combination of training and experience equivalent to:  
1. Education: Successful completion of high school, General Education Development (G.E.D.) Certificate or California Proficiency Certificate.  
2. Experience: One (1) year experience in coordinating or managing a volunteer program.  
Required Licensing 

Possession of a valid California driver's license.
